Interview

Eliminate duplicate data input for in-house and the association shared systems

What kind of activities does the "Toyama Shinko Cargo Handling Facility Management Association" do?

Mr. Hosokawa: The association is an organization for the mutual management and operation of cargo handling facilities at Toyama Shinko owned by the prefecture. It consists of three companies: Fushiki Kairiku Unso Co., Ltd., Nippon Express Co.,Ltd. Toyama International Logistics Office Hokuriku East Branch, and Toyama Kowan Unso Co., Ltd..

The association uses not only cargo handling equipment such as the chassis in the transfer crane yard, but also the terminal operation system, and the three companies that make up the association have worked together as one company.

What business issues did you face when considering the introduction of Cyber Port?

Mr. Hosokawa: Among the cooperative operators, Fushiki Kairiku Co., Ltd. has the largest share of the handling of bookings, but the forwarder system used by the Fushiki Kairiku Co., Ltd. and the terminal operation system used jointly by the three cooperative operators have common input items such as booking information and container numbers, and it was necessary to manually input two or three times when exchanging PDF files attached to faxes and emails. I've wanted to do something about this for a long time.

Cyber Port API linkage and accepting requests from the web input screen reduces the data entry work

How do you use Cyber Port currently?

Mr. Hosokawa: We implemented API linkage with Cyber Port in order to eliminate duplicate data entry into two different systems. Cyber Port has more than 30 reports format. Among these, 4 reports were selected for data linkage through Cyber Port: Booking Request, Booking Confirmation, Empty Container PickUp Orders , and Container Gate-in Slips.

In addition, some shipping companies have been asked to input data for booking requests, which were previously accepted by e-mail or fax, on the Cyber Port web screen (GUI) to save on data entry work.

Booking Request Acceptance from shippers

Eliminate duplicate input and share data quickly and efficiently

What has changed since the introduction?

Mr. Hosokawa: In the past, while we entered the booking information into Fushiki Kairiku's shipping system, we also did the same thing from the initial input when deciding on a container on the terminal operation system side. Now, the data entered into the forwarder system is also deployed to the terminal operation system via the Cyber Port, which has saved us some time.

On the other hand, the container number, the tear weight, and the seal number inputted to the terminal operation system are linked to the forwarder system via Cyber Port to reduce work.

In addition, it has become possible to receive forwarder booking requests, deploy data to relevant parties, and register booking simultaneously . Members working at different offices and sites can receive data simultaneously, making it easier to share data within the company.

Further expand the scope of use by utilizing the deepened system understanding in the process of introducing Cyber Port

How did you feel about introducing Cyber Port?

Mr. Hosokawa: The project team, including Mr. Himono, worked hard to improve the system. The Fushiki Kairiku forwarder system has been in development for 20 years and has been upgraded in the middle of the process. However, the current personnel in charge did not know the flow from upstream to downstream, or did not know the terminal operation system. One person is doing this here, other person is doing this over there, oh, we’redoing the same thing. We, the project team came to understand this at our internal meetings, and I think it was good that we were able to realize various things that could be done a little better here.

We have created a new mechanism for linking data that are entered into the system, and if we can make use of this idea, we may have more room to make use of the more than 30 reports available in Cyber Port.

What are your expectations for Cyber Port and how will it be used?

Mr. Himono: I have the impression that Cyber Port's functions are updated relatively frequently, and that it is constantly being improved.
I understand that one of the aims of Cyber Port is to eliminate duplicate and triple input by linking various systems with Cyber Port. In our company's efforts, the forwarder system and terminal operation system were linked via Cyber Port, but the ocean shipping company system has not yet been linked. If it can be linked, it will save us the effort of inputting the same data into the shipping ocean company' system, so we are looking forward to the participation of ocean shipping company in using Cyber Port.

Mr. Hosokawa: There are still a small number of shipper companies that enter booking information on the Cyber Port web screen, but Fushiki Kairiku is gradually increasing the number of cases in which booking information is registered in Cyber Port through the forwarder system on behalf of shippers. In the future, we believe that if the number of shipper companies that use Cyber Port in cooperation with the association increases,it will lead to further operational efficiency at Toyama Shinko. Also, currently, we are able to use Cyber Port for most of our exports, but we are not yet able to handle some of our imports and exports, so we would like to expand our use of it.
